A promising inquiry arrives, someone replies, and a week later nobody knows whether the prospect needs a proposal or has already chosen another supplier. That is the point where a contact spreadsheet stops being enough. A useful CRM makes the relationship, the next action, and the person responsible visible to the whole sales team.
The purchase is about the selling process you need to support. A founder handling twenty active opportunities has different requirements from a sales manager coordinating territories, marketing handoffs, and account ownership. Starting with the largest feature list often means paying to administer a process that does not yet exist.
We compared HubSpot, Pipedrive, Zoho CRM, Freshsales, and Capsule using official product and pricing sources checked on September 22, 2026. The recommendations are editorial judgments about fit, not results from hands-on trials. Published prices retain their original currency and billing conditions; regional pricing, onboarding, optional products, and tax can change the total.
Define the customer record before choosing the interface
Separate a person, a company, and an opportunity. One customer can have several contacts and several potential projects. Your CRM should let the team understand those relationships without copying the same history into multiple places.
Write down the few decisions that deserve a stage change. A prospect requesting information is different from one with an agreed budget and a scheduled decision. Software can expose those distinctions, but the team must agree on them. A pipeline becomes useful when its stages describe evidence, rather than optimism.

HubSpot
HubSpot is a strong candidate when sales needs to share customer context with marketing and service. Sales Hub sits within a broader customer platform, making the purchase relevant to businesses that want those functions to work from a connected customer record.
Our assessment is that the benefit is greatest when the other teams will actually use the shared system. A consultancy buying only a basic pipeline should evaluate that immediate need before committing to a much wider platform strategy.
The commercial tradeoff is packaging. Free tools and a paid sales deployment are different budgets. Identify which users require paid seats, which hubs are needed, and whether the desired edition requires onboarding. Treat credit-based extras as another line in the model.
Pricing context: The current page offers Free for up to two users and paid Starter, Professional, and Enterprise options. It lists required one-time onboarding fees for Professional and Enterprise. Pipedrive
Pipedrive centers the evaluation on leads, deals, activities, and the next sales action. That is a useful starting point when managers need to see which opportunities are moving and representatives need a clear follow-up routine.
Its current Lite package includes pipeline and contact management. Growth adds full email synchronization, automations, and nurturing sequences. This creates a concrete buying question: does your team only need a shared opportunity record, or must it also automate a substantial part of the follow-up process?
Our view is that Pipedrive deserves a trial for a sales-led business with a defined pipeline. The limitation is that a CRM subscription should not be assumed to include every lead-generation, campaign, or project-delivery capability. Review included features and optional products together.

Zoho CRM
Zoho CRM is worth considering when the sales process needs more deliberate configuration. Its published editions cover workflow rules, assignment, reporting, and progressively deeper process and customization features. Professional includes Blueprint process automation; Enterprise adds capabilities such as territory management and custom functions.
Our assessment is that this fits a team able to describe its approval stages, data requirements, and exceptions before configuring the system. A structured process can reduce ambiguity, especially when several people participate in qualifying or approving an opportunity.
The tradeoff is responsibility for that configuration. Someone needs to maintain field definitions, automation, and access as the organization changes. A complex setup should earn its complexity by solving a real coordination problem.
Pricing context: Zoho offers a free edition and per-user paid editions. Its pricing page changes with currency and region, so request the exact edition and user mix you need. Do not assume every Zoho application belongs to the CRM subscription. Zoho CRM editions and pricing.
Freshsales
Freshsales combines customer records with sales communication. The Growth plan lists contact lifecycle stages, a Kanban view, chat, email, phone, custom fields, and basic workflows. It is a relevant option when representatives want fewer transitions between maintaining a contact and acting on that relationship.
The higher tiers establish meaningful boundaries. Pro adds contact scoring, territory management, and sales sequences. Enterprise adds capabilities including field-level permissions, custom modules, and a sandbox. Choose the edition around the process you intend to run.
Our recommendation is to test one representative’s daily routine, including follow-up and handoff to a colleague. Confirm any communication usage charges and optional services during the quote; a feature appearing in the product does not mean all associated usage is unlimited.
Pricing context: Published annual-billing prices are US$9 for Growth, US$39 for Pro, and US$59 for Enterprise, per user per month. Branded documents and customer-facing AI sessions are listed as add-ons. Freshsales plans and add-ons.
Capsule
Capsule is a plausible fit for a small service business that wants to keep relationships, opportunities, tasks, and project context together. Its product structure gives a team a way to consider what happens after winning work, rather than ending the customer record at the sale.
Our assessment is that a consultant or small agency should test whether colleagues can understand a client’s history quickly. A useful pilot follows one opportunity from initial inquiry through an agreed next step and into delivery.
The main purchasing boundary is the move into more advanced team processes. Growth includes workflow automations, multiple sales pipelines, multiple project boards, and additional reporting. Those should be evaluated on the plan that actually includes them.
Pricing context: The Free plan allows two users and 250 contacts. Paid plans are per user with annual and monthly billing options; the reviewed page requires selecting the relevant pricing configuration. Marketing is also offered as an add-on. Capsule plans and feature limits.
Test the CRM with a small, messy sample
Use a dozen representative records rather than a perfectly prepared demo list. Include two contacts at one company, a duplicate email address, an old opportunity, and a customer buying a second service. Ask whether the relationships remain understandable after import.
Next, hand an opportunity to another person. That colleague should find the latest conversation, the promised deliverable, and the next action without asking the original owner to reconstruct the history. If critical information stays in a private inbox, identify whether the cause is configuration, permissions, or team habits.
Test the weekly sales review. Can the manager distinguish opportunities with a scheduled decision from ones with no recent activity? Can a representative explain why a deal moved forward? A report is more useful when its fields correspond to decisions the team can defend.
Keep marketing eligibility separate from being a sales contact. A CRM record alone should not become an instruction to add someone to every campaign. Decide where subscription preferences live and how changes flow between systems before connecting them.
- Assign an owner for duplicate cleanup and field definitions.
- Check what happens when a salesperson leaves.
- Export sample contacts, opportunities, and activity history.
- Budget for migration, setup time, subscriptions, and required extras.
Match the CRM to the selling motion

Choose the product your representatives can keep accurate during an ordinary busy week. That habit is the foundation for useful forecasting, reliable handoffs, and a customer record the next person can trust.
