A legal matter collects information across months: contacts, deadlines, documents, conversations, work performed, and money received. A practice management system should keep those records connected so that the next person opening the file can understand what needs attention. Buying on a feature checklist alone can conceal important differences between a basic matter record and a complete working process.
Clio, MyCase, PracticePanther, Smokeball, and Filevine all address that problem, with different packaging and workflow emphasis. This comparison focuses on software operations, using official product and pricing information checked October 15, 2026. It does not claim hands-on testing, provide jurisdiction-specific legal guidance, or verify a vendor’s compliance claims independently.
The matter is the central record here. If the primary job is negotiating an organization’s commercial agreements, see our contract lifecycle comparison. If your requirement is simply collecting signatures on finished documents, our electronic signature guide addresses that narrower purchase.
Compare the matter lifecycle
| Product | Best fit | Main strength | Meaningful tradeoff |
|---|---|---|---|
| Clio | A connected general practice | Matter management with wider platform options | Portal, automation, and intake vary by plan |
| MyCase | Client communication and billing | Case activity connected to client workflows | Advanced automation and accounting cost more |
| PracticePanther | A clear tier-based shortlist | Matters, time, and workflow tools | Communication and accounting scope differ |
| Smokeball | Document-intensive practice workflows | Practice templates and deeper automation | Plan and add-on boundaries need review |
| Filevine | More tailored matter operations | Connected matter data and package extensions | Configuration and commercial scope need ownership |
Clio
Clio’s current practice management lineup includes Starter, Core, Signature, and Elite. Its published matrix connects matters, contacts, documents, time, billing, and accounting, with more automation and control in higher tiers. Evaluate the exact plan rather than assuming that every capability shown elsewhere on the platform is included.
The strength is a broad working environment around the matter. The limitation is packaging: the secure client portal appears from Core, while deeper roles, matter stages, and workflows depend on higher tiers. Grow adds client acquisition and intake capabilities, with inclusion or add-on terms depending on the package. A firm needing only active-case administration should separate that from a broader intake purchase.
The pricing FAQ states a starting price of $49 USD per user per month; higher tiers require pricing contact. Confirm the billing term for the starting offer and quote the actual plan, processing fees, and optional products together. Clio fits firms that value a connected platform and can define which responsibilities belong in each module. Demonstrate the requested matter and client permission model before committing.
MyCase
MyCase brings case and contact management, time entry, invoicing, documents, and client interaction into the same environment. Its Pro tier adds workflows, intake forms, richer communication, and document generation. That is useful when staff repeatedly copy information from a conversation into a separate case or billing record.
Its advantage is connecting ordinary administrative work to the case context. The limitation is that Basic, Pro, and Advanced have materially different boundaries. Basic’s portal is described as limited; Advanced adds deeper document automation, desktop drive, and open API access. Test the specific client experience and integration your firm needs rather than judging the product through a fully enabled demonstration.
Annual pricing is $50, $100, and $130 USD per user per month for Basic, Pro, and Advanced; monthly billing is $60, $120, and $150. Accounting is a separately listed $39 per-user monthly enhancement on Pro and Advanced. Payment processing can still incur transaction costs. MyCase suits firms seeking a practical connection between client communication, active matters, and billing, with a budget that reflects the required tier.
PracticePanther
PracticePanther publishes Solo, Essential, Business, and Business Pro tiers. Matter and contact records, time and expense tracking, client portal access, and storage form the core offering. Higher tiers add items such as custom fields, security roles, intake, texting, signatures, and broader accounting capabilities.
The benefit is a visible progression from a simpler practice record to more coordinated administration. The tradeoff is that a low entry price may omit the workflow that triggered the purchase. Ask staff to demonstrate a new client inquiry becoming a matter, a document request, an approved bill, and a recorded payment. Confirm which steps require a higher tier or an external service.
With annual billing selected, the page shows $49, $69, $89, and $114 per user per month for those four tiers. Verify the renewal total and payment terms rather than assuming an annual monthly equivalent permits monthly cancellation. Business Pro includes PantherAccounting Plus; processing and third-party calendar services have separate considerations. PracticePanther is a sensible shortlist for firms that can map a clear required workflow to a specific tier.
Smokeball
Smokeball’s current plans are Bill, Boost, Grow, and Prosper+. They range from billing-focused work to matter administration, practice-area templates, document automation, intake, and reporting. The depth of those document workflows makes it relevant to practices that repeatedly prepare related documents from structured matter information.
The strength is reducing fragmentation around a document-intensive file. The limitation is that capabilities promoted across the suite are not uniformly included. The current matrix puts automatic time capture, intake, and workflows in different inclusion or add-on positions by tier. Ask for a walkthrough using your actual document templates and Microsoft 365 setup, including how a changed matter field affects a later draft.
All four plan cards currently ask buyers to get pricing; no reliable universal subscription amount is displayed. Request a written breakdown for seats, chosen plan, AutoTime, intake, workflows, Archie AI, and any transaction or filing charges. Smokeball fits firms willing to configure repeatable practice workflows. Keep responsibility for checking generated documents with an identified reviewer and confirm how source records remain visible during that review.
Filevine
Filevine’s published pricing structure is built around custom packages, including a Matters package and extensions for additional needs. Matter management, document management, document assembly, and payment workflows are described together. Other packages and services extend the platform into intake, signatures, depositions, and AI-assisted work.
The advantage is room to shape a more complex practice operation around the matter. The limitation is that configuration and extensions can become a project in their own right. Its pricing page identifies client portal, analytics, deadline management, and data access among package extensions. Confirm their inclusion explicitly rather than assuming the platform demonstration represents a base subscription.
Filevine does not publish a standard per-user dollar price on this page; packages are custom-built. Quote the initial configuration, migration, ongoing administration, integrations, support, and every required extension together. It suits firms with sufficiently specific processes to justify that setup and a person accountable for maintaining it. During evaluation, change a matter stage and inspect what happens to outstanding tasks, permissions, documents, and downstream reports.
Evaluate a file from intake to closure
Use a fictional matter with a contact who has multiple roles, a restricted document, an upcoming deadline, and work recorded by two staff members. Have an administrator, a fee earner, and a client each perform their part. Record what each can see and whether the next action stays connected to the same file.
Then introduce an exception: a corrected invoice, a staff departure, a duplicate contact, or a revised document. The important question is whether the system preserves a clear explanation of what changed. Obtain a sample export and inspect whether documents, contact relationships, time entries, and financial records remain understandable outside the interface.
For migration, count the record types and relationships rather than just the number of files. Ask who resolves mismatched contacts and incomplete balances, which historical items are imported, and how staff check a representative sample before switching. A successful file upload is not evidence of a usable matter history.
- Specify required matter fields, roles, and confidential access boundaries.
- Confirm client portal, texting, document, and intake entitlements.
- Separate subscription, processing, filing, integration, and migration charges.
- Demonstrate a correction with an understandable audit history.
- Agree on export access, support responsibilities, and cancellation timing.
Consider Clio for a broader connected practice, MyCase for case communication and billing, and PracticePanther for a tier-defined workflow. Shortlist Smokeball for deeper repeatable document work and Filevine for tailored matter operations. Favor the platform that makes a handoff clear to the next person responsible for the file.
