Two bidders may receive different documents, an advisor may answer questions without approving disclosure, and the seller may need a final record after access closes. Ordinary shared folders can move files; a diligence workspace must also keep people, permissions, questions, and project history understandable.

This guide compares Ideals, Datasite Diligence, Firmex, Ansarada, and SecureDocs. It evaluates five product offerings, not five independent corporate suppliers: Datasite has acquired Firmex and key Ansarada businesses. Assess the actual product and contracting entity in each proposal. Define the deal before requesting prices. List the number of rooms, expected duration, document volume, bidder groups, administrator roles, and closure requirements. A low starting fee means little if a delayed deal changes the contract or a temporary upload sets a higher storage charge for the remaining term.

Ideals

Ideals offers Core, Premier, and Enterprise. Core is a single-project room with five administrators, unlimited users, and a stated 0.5–2 GB storage range. Its listed capabilities include document versioning, a diligence checklist, redaction, and standard Q&A. Premier adds extended service and tailored storage; Enterprise addresses multiple projects and cross-project administration.

The pricing page asks buyers to obtain a price rather than publishing a universal fee. Do not reuse an older starting amount as today’s quote. Ask which storage allowance, preparation period, service package, archive format, and integrations the proposal includes. The distinction between unlimited participant users and administrator limits is especially relevant when several advisors need to manage the room.

Our shortlist recommendation is Core for a clearly bounded disclosure project and Enterprise when managing a pipeline is part of the requirement. The tradeoff is that the operating model must fit the plan: a second room or additional administration may change the package. During an evaluation, preview what each bidder group can see after a document version is replaced. Also ask who can approve a Q&A answer and whether the final export preserves the context needed to interpret it.

Datasite Diligence

Datasite Diligence is positioned for sell-side transactions, with permission controls, buyer activity analysis, Q&A routing, translation, and redaction. The current product page also describes Blueflame AI assistance for document questions and sourced responses. These features can help organize a large disclosure process, but their presence is not evidence that every output is correct or appropriate for disclosure.

The commercial scope requires a transaction-specific proposal. Record what Diligence itself includes and what belongs to separate preparation, acquisition, archive, or other Datasite products. A connected product family can be useful, while also making a casual comparison of room prices misleading. Ask for an explicit term, billable data definition, extension price, and support obligations.

This is our shortlist for a team whose difficult work is coordinating many experts and questions across a complex sell-side process. Its limitation is the need for configuration and a clear responsibility model. Demonstrate a question that must pass from a financial specialist to a disclosure approver, with a revised answer and a restricted attachment. Evaluate the human workflow before adopting AI assistance, and confirm which activity records can be exported after the deal closes.

Firmex

Firmex provides document controls, user and group permissions, indexing, reporting, Q&A, and redaction. The official overview includes a View As feature, which is relevant when administrators need to understand the room from a participant’s perspective. Watermarking and viewing or download restrictions support deliberate disclosure; they should be evaluated with your documents and recipient roles.

The pricing page distinguishes a single-project room with a fixed access period and one-time fee from an annual subscription with unlimited projects and always-on access. Single-project prices depend on data requirements and duration; subscription prices depend on annual data needs. Both require a quote. Compare total annual commitments rather than treating unlimited projects as unlimited storage.

Firmex belongs on the shortlist for advisory or corporate teams that repeatedly open rooms and want an ongoing preparation routine. The tradeoff is utilization: an annual agreement may be poor value if the expected pipeline never occurs. Ask how storage is measured across rooms and what happens when a project remains open beyond its expected closing date. Include room duplication, bidder-group setup, and an exportable audit record in the evaluation rather than comparing only upload speed.

Ansarada

Ansarada combines document preparation, access permissions, structured Q&A, task management, and AI-assisted organization or redaction. Its current pricing page offers a tailored quote builder. The most important commercial detail is the launch trigger: preparation is free until the room goes live or 90 days after creation, whichever comes first.

The page defines going live to include inviting guest users or making the project visible externally. Prices exclude GST. Plan changes are available at the end of the contracted term. Additional data is charged for the remaining term, and overage is captured at peak usage for the billing period; deleting files later does not reduce that overage invoice.

These rules make Ansarada relevant for teams preparing a disclosure set before opening it to bidders. They also mean that a casual external invitation or temporary large upload can affect the bill. Our recommendation is to agree the launch event and storage owner before starting. Have someone demonstrate the data gauge, approval permissions, and a staged invitation sequence. Compare the written proposal against an expected delay scenario rather than assuming preparation is free indefinitely.

SecureDocs

SecureDocs now has its official product home within Onit. Its room includes permission-based roles, watermarking, customizable NDAs, activity logs, dashboards, and Q&A. The offering emphasizes a straightforward room subscription with unlimited users and documents, which is attractive when a team wants a clearly described commercial boundary.

The published three-month plan is $400 per month billed quarterly, meaning a $1,200 quarterly payment before any applicable tax or other agreed charges. The twelve-month plan is $250 per month billed annually, a $3,000 annual payment. Multiple-deal volume packages are quoted separately. Neither displayed monthly equivalent should be described as an unrestricted month-to-month contract.

SecureDocs is our shortlist for a bounded project or ongoing corporate repository where flat-fee administration matters more than buying a broad transaction platform. The tradeoff is that price simplicity does not answer every workflow question. Check document-format behavior, approval responsibilities, and the export you need at closure. Ask the vendor to show two bidder groups, an updated confidential file, a revoked participant, and the activity log that remains available to the project owner.

Evaluate disclosure, questions, and closure together

Use an anonymized document set with a genuinely sensitive appendix. Create a seller administrator, a subject-matter expert, and two separate bidder groups. Ask each person to perform only their expected task. Confirm that an answer intended for one bidder does not become visible to another because of a default or a later permission change.

Then replace a file and remove a participant. Establish what happens to previously downloaded material, which controls apply only inside the viewer, and which records remain after access ends. Watermarks and access revocation are operational tools; they do not make a previously disclosed fact disappear. Your legal and transaction teams should decide the disclosure policy.

Compare proposals on the same duration and data assumptions. Include extensions, overages, archives, support, and required integrations. Name one owner for launch and one for closure. Before signing, obtain an example final archive and confirm that it is useful without an ongoing paid room.
