Rental management software should connect a lease to the money, messages, and work associated with it. A rent payment is not useful in isolation if the resident ledger, owner statement, and maintenance record tell different stories. The buying decision is about keeping a portfolio coherent as units, staff, and owners change.
Buildium, AppFolio, DoorLoop, Rentec Direct, and Rent Manager all address that broader operating workflow. This comparison focuses on long-term rental property operations, with US-oriented pricing and payment examples. General bookkeeping is covered in our small business accounting guide; contractor job dispatch is a separate field service software decision.
We checked official product and pricing pages on October 16, 2026. No portfolio migration or payment processing was tested for this article. Confirm availability, banking arrangements, and the exact property types supported in your market. The recommendations concern software workflow, not legal or accounting advice.
Compare the portfolio operating model

|---|---|---|---|
| Buildium | Rental teams wanting tiered operating coverage | Accounting, leasing, resident, and maintenance workflows | Starting prices exclude portfolio-dependent extras |
| AppFolio | Operators standardizing a growing portfolio | Connected platform with configurable higher tiers | Unit and minimum-spend requirements |
| DoorLoop | Teams choosing between core software and agents | Broad common platform across current plans | Automation scope and minimums need close review |
| Rentec Direct | Landlords and third-party managers with different needs | Clear distinction between Pro and PM ownership workflows | Payment and screening fees remain separate |
| Rent Manager | Operators needing a configurable connected system | Accounting and operations with integrations | Package and service costs require a quote |
Buildium
Buildium combines property accounting, leasing, maintenance, resident communication, and reporting. That breadth fits teams trying to reduce the number of disconnected records around a property. Its tier structure provides a way to compare the basic operating workflow with more advanced automation and integration requirements.
The checked pricing page lists Essential starting at $62 per month, Growth at $192, and Premium at $400. These are starting amounts, not a flat promise for any portfolio. Growth adds reporting customization and lower costs for selected transactions, while Premium includes the Open API and broader automation features.
Strength: a connected rental workflow with visible entry tiers. Limitation: transaction entitlements and advanced capabilities change by plan. Review inspection, signature, payment, onboarding, and other applicable charges against the actual number of units.
Buildium is a sensible shortlist choice when the team wants a single property-centered workspace and can define which tier-specific functions are necessary. Ask for a written estimate and a demonstration of a resident charge correction reaching both the ledger and the owner-facing record. The base subscription alone does not answer that operating question.
AppFolio
AppFolio’s residential pricing describes Core, Plus, and Max packages. Core includes property accounting and reports, marketing and leasing, work order management, inspections and turns, communication, and standard integrations. Higher packages add capabilities for more complex portfolios and operating structures.
Public residential starting rates are $1.49 per unit per month for Core, $3.20 for Plus, and $5.00 for Max. Core carries a 50-unit minimum and a minimum-spend requirement; Plus and Max also have minimum spend and unit conditions. Do not multiply a small unit count by the headline rate and assume that is the invoice.
Strength: a platform designed around shared operating records as a portfolio grows. Limitation: qualification, implementation, and selected value-added services matter alongside the per-unit rate. Request the complete minimum commitment, contract term, and service scope.
Choose AppFolio for evaluation when standardizing teams and property workflows is the main problem. Bring an awkward example: a unit changing status, an unresolved maintenance request, and an owner needing a corrected statement. Confirm which package provides the required automation and how staff can inspect or reverse an incorrect action.
DoorLoop
DoorLoop’s current plans are One, Connect, and Multiply. The pricing page says all three share the core property management platform, including accounting, leasing, maintenance, payments, portals, and a company website. The major distinction is how much work the additional agents handle.
One includes an AI Assistant for tasks such as drafting listings and summarizing information. Connect adds a Receptionist Agent for tenant communications. Multiply adds agents for maintenance operations and lease renewals. Treat those descriptions as vendor capabilities to evaluate, not as proof that unattended actions suit every property or policy.
Strength: the core platform is not fragmented across unrelated feature bundles. Limitation: the supervision and escalation rules become part of the implementation. A team should know when a tenant’s request reaches a human and which actions require approval.
The current per-unit pricing includes plan minimums and a monthly/yearly selector. Obtain an exact quote for the selected term and portfolio rather than reusing older Starter, Pro, or Premium amounts. DoorLoop deserves evaluation when the team wants to keep a shared platform while deliberately choosing the degree of automation. Start with a bounded workflow and inspect the resulting action record.
Rentec Direct
Rentec Direct separates Starter, Pro, and PM by operating role. Starter is a flat $25 per month for up to ten properties and tenants. Pro adds tools for landlords and building managers; PM adds third-party management needs such as owner accounting, trust account reporting, and an owner portal.
The pricing page states that Pro and PM start at $50 per month and scale with unit count. Its calculator offers monthly and annual billing, so obtain the current total for your edition, unit count, and selected cycle. Setup and personalized onboarding are described as included rather than an extra implementation package.
Strength: the distinction between managing your own rentals and managing for owners is explicit. Limitation: payment and screening charges still need a transaction budget. The detailed fee table limits free incoming ACH on Pro and PM to one payment per active property per month, with excess payments charged separately.
Choose Rentec when that edition structure matches the business. In the evaluation, follow a partial rent payment and a separate owner disbursement. Verify the relevant fees, permissions, and statement output. A general claim of free rent payments should not override the more specific fair-use terms.
Rent Manager
Rent Manager presents an integrated accounting, operations, and leasing system with Basic, Plus, and Premium packages. Its Basic description includes accounting, reporting, work orders, marketing and leasing, online applications, and unlimited eSignatures. The package approach allows an operator to consider a broader configuration rather than adding independent tools by default.
The platform also describes services and integrations around the core system, including communications, websites, and connected operational capabilities. That can suit a team with established processes that needs software to accommodate its structure. It also makes implementation discovery important: document what the base package actually includes.
Strength: a wide operational scope with room for connected services. Limitation: extra capabilities can have prerequisites, such as a purchased phone number or phone-service subscription. A package name alone is insufficient evidence of the total cost.
The checked page requests a quote and does not provide a stable numeric subscription schedule. Request pricing for the required units, users, services, setup, and contract term. Shortlist Rent Manager when configuration breadth is valuable and the team can assign someone to own the resulting system. Require a clear plan for both importing and later exporting portfolio records.
Make the evaluation close a real operating loop
Build a small sample portfolio with more than the easiest case. Include a vacant unit, an occupied unit with a partial payment, an owner statement, a maintenance request, and a lease approaching renewal. Use synthetic records and avoid initiating real banking transactions during a software demonstration.
First check migration assumptions. Opening balances, resident deposits, owner ownership shares, and unresolved work need an agreed source of truth. Ask who validates imports and what evidence demonstrates that the result is correct. A fast import is not useful if staff spend the following month reconciling unidentified differences.
Then follow a change across roles. Have an operator correct a charge, a manager approve the adjustment, and an owner view the resulting statement. Check which staff can see resident information and which can change financial records. The goal is understandable authority and traceable changes, rather than simply more automation.
- Match the product to rental type, geography, unit count, and ownership model.
- Request the minimum invoice and all payment, screening, and service charges.
- Separate software subscription, onboarding, optional services, and contract term.
- Verify resident, owner, vendor, and staff access using representative records.
- Document export formats and responsibility for reconciliation after migration.
Buildium offers a visible tiered starting point; AppFolio suits portfolio standardization; DoorLoop makes automation scope a central choice; Rentec distinguishes landlord and manager editions; and Rent Manager merits a configuration-led evaluation. Choose the system that keeps the lease, ledger, communication, and work record consistent under your team’s actual operating rules.
